Information we collect and why

We collect the registration, mileage, postcode, make and model, condition and service-history details you provide, together with your name, email address and telephone number. We use this information to assess your vehicle, contact you about your enquiry and arrange a possible purchase.

For the steps you ask us to take towards a potential vehicle purchase, our lawful basis is taking steps at your request before entering into a contract. We rely on legitimate interests to maintain website security, prevent abuse and keep proportionate records of enquiries. Those interests are operating a secure service and handling enquiries and disputes. Where applicable, legal obligations require us to keep transaction records.

You do not have to submit an enquiry, but without sufficient vehicle and contact information we may be unable to assess your car or respond. Please do not send bank details, identity documents or sensitive personal information through this form.

Vehicle registration lookup

When you request a registration lookup, we send your registration number to Reg Check (regcheck.org.uk) to retrieve vehicle details and save you entering them manually. We do not send your name, email address or telephone number with that lookup. This is part of the steps you ask us to take towards a possible vehicle purchase. If lookup is unavailable, you can enter your vehicle details manually.

Who receives your information

Authorised members of the Willowbrook Motor Company team handle your enquiry. Netlify hosts the website and processes and stores form submissions. Our business email provider processes the email notifications and correspondence. Professional advisers and authorities may receive information where needed for advice or a legal obligation. We do not sell enquiry information or use this form to enrol you in marketing.

International processing

Netlify operates internationally and information may be processed outside the UK, including in the United States. Its published privacy information describes international transfer mechanisms, including the Data Privacy Framework and standard contractual clauses where applicable. How long we keep it

For unsuccessful enquiries, our policy is to delete personal information from Netlify and our enquiry email records six months after the last contact. Where a purchase proceeds, relevant information becomes part of our transaction records and is retained under our business record-keeping policy and applicable legal requirements. Information needed for a legal claim or legal obligation may be retained for longer where necessary.

Depending on the circumstances and our lawful basis, you can ask for access to your information, correction, deletion, restriction of processing or a portable copy.
